Set up Course Days Times

Summary

PayGlobal uses the dates and times on the Courses - Days tab to integrate courses with rostering. You need to complete the Start time and End time for each day of the course. Each day is a timeband that will be automatically updated in the attendees’ rosters.

Generally the HR Manager will manage the course bookings, so they should liaise with the person in charge of the rosters to determine the Start time, End time and Reason code.

Note: The Start time and End time will create timeband overrides so you should also consider the roster when you specify these times.

Procedure
  1. In Edit mode, double-click Day 1.
  2. On the Details tab, enter a Start time and an End time using a 24 hour clock.
  3. Select a Reason code.

    You should use a specific reason code for all course days to distinguish course timebands from other timebands. Roster users can also write award rules using this reason code.

  4. Complete the remaining fields as required. For example, on the Details (ii) tab, you can enter a Break amount.
  5. Save and close the record.

    PayGlobal validates the Start time, End time, and Break amount before the record is saved.

    PayGlobal checks:

    • Start time is less than End time
    • Times cannot be greater than 48.00 hours
    • Break amount cannot be greater than span of the timeband.
  6. While Day 1 is still highlighted, press Alt+R two times. Alternatively, right click Day 1 and select Replicate Record.

    All of the information in Day 1 is replicated to Day 2 and Day 3. If any information is incorrect for a day, then open the day and manually edit the required field.

Note
  • If the course already has attendees set up and Update attendees' roster = Yes, then the attendees' rosters are updated when you save the course day.

You can also use modelling to model a field, such as the Start time, End time, and Break amount to another course day. When you model a field, the attendees' rosters are updated for that day.
