Changing Employee Status from Full-Time to Part-Time

Summary

To change an employee's status from full-time to part-time (or vice versa), you cannot simply change the employee status code on the Contracts tab page of the employee record.

You also need to consider the following:

Leave Entitlements - A part-time employee normally accrues leave on a proportional basis (based on actual hours worked), rather than as a fixed value like a full-time employee would.

Cost Centre Code - Sometimes an employee's default cost centre code can be linked to their employee status. In this situation, you need to manually change their cost centre.

Default Hourly Rate - Sometimes an employee's hourly rate changes with their change in status. If this change has occurred in the past, then you may need to pay the employee backpay.

Profiled Hours - The profiled hours on the Employees - Payments tab page can affect other areas of PayGlobal. For example:

  • Leave accruals if Rostering is used
  • Daily rate calculations. Some payments may be made using the daily rate. For example, annual leave, sick leave, long service leave.
  • When you add an annual leave transaction, PayGlobal estimates the annual leave End Date using the employee's profiled days.
  • Payroll notes. When you change an employee's status, you should add information about the changes that you made and reasons for the status change.
