Creating a Roster Tour

Treetop's Helpdesk employees have agreed to a new Roster. This needs to be created in PayGlobal.

The agreed shifts are:

Each employee will step through the shifts in a four week repeating cycle. This forms the Tour in PayGlobal.

Shift Configuration

1. Navigate to Rostering | Shifts.

   Create four new Shifts, as agreed.

   To add a new Shift code, press the Insert key or right-click in the Grid area and select Add Record.

2. Save each record as you create it and then click the Edit button.

   Press the Insert key or right-click in the Grid area and select Add Record.

3. For each of the four new shifts, add the Start time and End time. Click Save + Close.

   

Tour Configuration

The shifts created in the previous step will now be attached to three tours.

1. Navigate to Rostering | Tours.

   Create a new rotating Tour, with a Duration of 28 days.

   

2. Click the Shifts tab and attach the four shifts to the new tour.
3. Double-click each Day Number and add the shifts as agreed.
4. Add a Lunch Break for each day.

   Note: Remember that the Helpdesk employees are going to step through the tour over a four week cycle.

   

   The first two weeks of the completed rotating tour should look similar to the following example.

   

5. Create two new fixed Tours, with a Duration of 7 days.

   One is for the 0800 to 1700 shift and the second is for the 0830 to 1730 shift.

   Following is an example of the 0800 to 1700 fixed tour.

   

You will now attach the employees to the tour.

Employee Configuration

There are six employees who work on the helpdesk for Treetop. The two longest serving employees will always work a fixed Roster, leaving the remaining four employees to use the rotating Roster Tour.

Employee Fixed Roster Configuration

Grant and Shirley each need to be attached to one of the two fixed tours. They both start their tours on day 1 and the Effective start date is 05/03/2016 for both employees.

• Grant Clyde will be on a fixed Roster tour for the 08:00 – 17:00 shift.
• Shirley Peters will be on a fixed Roster tour for the 08:30 – 17:30 shift.

1. Navigate to the Employees | T&A/Rostering | Rostering | Tours tab.
2. Add a new Employee Tour record for each of the two employees, specifying their required tours. The following example shows the Details tab for Grant Clyde.

   

Employee Rotating Tour Configuration

The remaining four employees need to be attached to the one rotating tour and they will start the tour at different days in the cycle. The Effective start date will be 05/03/2016 for all four employees.

1. Navigate to the Employees | T&A/Rostering | Rostering | Tours tab.
2. Add a new Employee Tour record for each of the four employees.

   Julian Garrison will start the tour on Day 1.

   

   This means that on Monday 05/03/2016 Julian will be rostered to work the 0800 – 1700 shift.

   Peter van der Loo will start the tour on Day 8 and will be rostered to work the 0830 – 1730 shift.

   Rebecca Greerson will start the tour on Day 15 and will be rostered to work the 0900 – 1800 shift.

   Nicholas Jones will start the tour on Day 22 and will be rostered to work the 1000 – 1900 shift.

Tours, Shift Overrides & Timeband Overrides can be viewed on the Employee Details | Rostering | Employee Tours make-up table.

Once the Tours & Shifts have been finalised, review your results in Daily View.
