Grid Reports

Summary

Grid reporting enables you to generate quick reports on an ad-hoc basis or as a report that is run frequently.

A grid report is a report generated from any entity or makeup table. This reporting option lets you print specific data based on the current grid layout.

A grid report enables you to sort and group data, and then generates a report based on what is displayed. The difference between a grid report and a standard report is that you can determine exactly what information is shown, and how it is to be sorted. Standard reports are run from the Report Group entity, and have less flexibility in changing the report layout.

Types of
information

What type of information can be generated in a Grid report?

  • Static, non-calculated data against any entity or makeup entity within PayGlobal
  • All fields, including user-defined fields, can be selected from the Grid when that particular entity is highlighted on the PayGlobal tree.
  • Special functionality is available in Transaction View, Audit Analysis and History Analysis.

Transaction View and Daily View Grid reporting

The Transaction View and Daily View grids function differently to the standard grids. For information about generating grid reports from Transaction View or Daily View, see:

Output types

Grid reports can be sent directly to your hard drive.

In an ASP environment, your setup might not allow you to send the report to a destination on your hard drive or network. In this case, you would e-mail the report to yourself, and then print the report to a local/network printer, or save it as a file on your local drive.

The Grid report output format may be Adobe Acrobat (.pdf), Microsoft Excel (.xls), Report text (.txt), Comma Separated Value (.csv) or as a pie chart.

You can also send the file as a zipped file by ticking the Use Compression flag.

Using additional features with reports

You can group information together, for example, Long Service Leave Liability by Department Description.

You can then total units by this departmental grouping and then generate a total for all departments.

Then, if you need to generate an Annual Leave Liability report by department, but the supervisor struggles with deciphering all the figures in the report, you could generate a pie chart to give a visual display of the information.

You can save your Grid layout, so that it does not need to be recreated the next time the report is required.

Grid reports can also use data filters such as Quick Search or Queries.
